Youth Summer School Terms & Conditions

These Terms & Conditions apply to bookings for the Broadside Music Youth Summer School. By making a booking, the parent or carer making the booking confirms that they have read and accepted these Terms & Conditions on behalf of themselves and the participant.

1. Bookings

Places on the Youth Summer School are subject to availability.

Bookings must be made by a parent or legal guardian for participants under the age of 18.

The person making the booking is responsible for ensuring that all information supplied to Broadside Music is accurate and complete and for informing us promptly if any relevant information changes before the course.

A place is confirmed once the required deposit has been received and Broadside Music has confirmed the booking.

2. Eligibility

The Youth Summer School is for young singers aged 13–18 at the start of the course.

Previous choral experience is desirable. Participants should be comfortable reading music or willing to prepare their music carefully in advance.

There is no formal audition. We will ask for information about each participant's musical and choral experience when booking so that we can plan appropriately and ensure that the course is suitable for them.

If we have concerns about whether the course is appropriate for a participant, we will discuss these with their parent or carer.

3. Fees

The fee for the 2027 Youth Summer School is:

Residential place: £1,095
Non-residential place: £545

The residential fee is all-inclusive and covers tuition and music-making, accommodation, all meals, organised travel during the course and activities forming part of the Summer School.

The non-residential fee covers tuition and music-making, lunch each day, organised travel from Langley School to off-site venues and activities forming part of the Summer School.

Personal expenses and travel to the Summer School at the beginning of the course are not included.

4. Deposits and instalments

Successful applicants will receive an offer of a place from Broadside Music. A 10% deposit is required to accept the offer and secure the participant's place.

The deposit is non-refundable.

The remaining balance is payable in three equal instalments on 1 February, 1 April and 1 June 2027.

Successful applicants who accept their offer and secure their place by 31 January 2027 will receive a 10% Early Booking Discount on the course fee. The deposit and subsequent instalments will be calculated from the discounted course fee.

For places secured after an instalment date has passed, the payment schedule provided at the time of booking will apply.

If a payment is unsuccessful or remains outstanding, Broadside Music will contact the person who made the booking. If payment is not subsequently received, we reserve the right to release the participant's place.

5. Cancellation by participants

If you wish to cancel a place, you must notify Broadside Music in writing.

The booking deposit is non-refundable.

Any refund of payments made beyond the deposit will be determined in accordance with the cancellation arrangements stated at the time of booking.

We strongly recommend that families consider appropriate insurance to cover circumstances that may prevent a participant from attending, including illness or other unforeseen events.

A participant who leaves the Summer School early, or misses part of the course, will not normally be entitled to a refund for the unused portion of their place.

This does not affect any statutory rights you may have.

6. Cancellation or changes by Broadside Music

Broadside Music reserves the right to make reasonable changes to the timetable, repertoire, staff, venues, activities or other arrangements where necessary.

We will aim to preserve the overall character and quality of the Summer School wherever changes are required.

If Broadside Music has to cancel the Summer School entirely, participants will be offered a refund of course fees paid to Broadside Music.

Broadside Music cannot be responsible for additional costs incurred by families as a result of cancellation or changes, such as independently arranged travel or accommodation, except where required by law.

7. Residential accommodation

Residential participants will be accommodated in boarding accommodation at Langley School.

Room allocations will be made by Broadside Music in consultation with the venue and will take account of age, safeguarding, privacy and individual needs.

Boys and girls will be accommodated in separate bedrooms and, wherever the accommodation allows, separate boarding areas. Participants must sleep in their allocated bedrooms and follow the residential arrangements communicated by the course team.

Parents or carers should tell Broadside Music before the course about any accommodation, privacy, accessibility or welfare needs that may affect their child.

8. Non-residential participants

Non-residential participants will take part fully in the musical and social programme of the Summer School.

Parents or carers are responsible for ensuring that non-residential participants arrive and are collected in accordance with the arrangements provided by Broadside Music.

Broadside Music's responsibility for a non-residential participant begins when they are signed into our care and ends when they are collected or otherwise leave our care in accordance with an arrangement agreed with their parent or carer.

9. Safeguarding and supervision

The welfare and safety of participants is fundamental to the way the Youth Summer School is run.

Broadside Music will maintain appropriate safeguarding, supervision and safer-working arrangements throughout the course, including during residential accommodation, rehearsals, meals, social activities, organised travel and activities away from the residential base.

The Summer School will have a Designated Safeguarding Lead and Deputy DSL.

Parents and carers should read the Youth Summer School: Safeguarding & Welfare information available on the Broadside Music website before the course.

10. Medical, dietary and additional needs

Parents or carers must provide accurate and complete information about any medical conditions, allergies, dietary requirements, medication, accessibility requirements or other needs that may materially affect a participant's health, welfare or ability to participate safely.

Broadside Music must be informed if this information changes before the course.

Where medication is required, parents or carers must follow the arrangements communicated by Broadside Music and provide any medication in its original packaging with clear instructions.

We will make reasonable efforts to accommodate dietary, medical, accessibility and additional needs. Where a participant has significant requirements, we encourage parents or carers to contact us before booking so that we can discuss whether and how these can be supported safely.

11. Illness and emergencies

Appropriate first aid arrangements will be in place throughout the Summer School.

Parents or carers must provide emergency contact details and ensure that an appropriate adult remains contactable throughout the course.

If a participant becomes ill or injured, Broadside Music may provide or arrange appropriate first aid or medical assistance and will contact the participant's parent or carer where appropriate.

In an emergency, we will prioritise the participant's immediate health and safety and may seek emergency medical treatment before a parent or carer can be contacted.

If a participant becomes too unwell to remain safely on the Summer School, their parent or carer may be required to arrange for them to be collected.

12. Participant behaviour

Participants are expected to behave responsibly and respectfully towards other participants, staff, venue teams and members of the public.

Participants must follow reasonable instructions from Broadside Music staff and comply with arrangements relating to safeguarding, accommodation, supervision, travel and activities.

Bullying, harassment, discrimination, intimidation, sexual harassment, violence, deliberately harmful behaviour and possession or use of alcohol, illegal drugs, cigarettes or vaping products will not be accepted.

Serious or repeated behaviour that places the participant or others at risk, significantly disrupts the Summer School or represents a serious breach of our expectations may result in the participant being required to leave the course.

Where reasonably practicable, Broadside Music will discuss significant behavioural concerns with the participant's parent or carer.

If a participant is required to leave the Summer School, their parent or carer will be responsible for arranging and meeting the cost of their collection. A refund will not normally be provided in these circumstances.

13. Phone-free course

The Youth Summer School is a phone-free course.

Participants may bring a mobile phone, but phones will be collected and stored securely during the course. Participants will have access to their phones during allocated supervised periods.

Exceptions may be agreed where access to a phone or other device is required for medical, welfare, accessibility or another appropriate reason. Parents or carers should discuss this with Broadside Music in advance.

Parents and carers will receive a daily update during the Summer School and will be provided with appropriate contact details for the course team in case they need to contact their child urgently.

Participants must comply with the course's arrangements for phones and other digital devices.

14. Travel and activities away from the residential base

The Summer School includes organised travel and activities away from Langley School, including Choral Evensong at Salle Church and the final concert at Norwich Cathedral.

By booking, parents or carers give permission for the participant to take part in the normal programme of organised course travel and activities, subject to any additional consent that Broadside Music may reasonably request.

Broadside Music will maintain appropriate supervision and safeguarding arrangements during organised travel and off-site activities.

15. Arrival, departure and collection

Parents or carers are responsible for ensuring that participants arrive and are collected according to the arrangements communicated by Broadside Music.

Participants will not be permitted to leave Broadside Music's care independently unless this has been agreed in advance with their parent or carer and Broadside Music.

If somebody other than the expected parent or carer will collect a participant, Broadside Music must be informed in accordance with the collection arrangements provided before the course.

16. Photography, audio and video

Broadside Music may photograph, film or make audio recordings during the Summer School for appropriate purposes including documenting the course and promoting Broadside Music's future activities.

Parents or carers will be asked separately for relevant photography and filming permissions.

We will respect the permissions provided and will not knowingly use identifiable images of a participant for promotional purposes where the appropriate permission has not been given.

Safeguarding and participant welfare will take priority in the taking and use of photographs, video and audio.

17. Personal belongings

Participants are responsible for their own belongings, including musical instruments, clothing and personal electronic devices.

Broadside Music will take reasonable care but cannot accept responsibility for loss, theft or damage to personal belongings except where caused by our negligence or where liability cannot legally be excluded.

Valuable or unnecessary items should not be brought to the Summer School.

18. Insurance and liability

Broadside Music will maintain appropriate insurance for its activities.

Nothing in these Terms & Conditions excludes or limits liability where it would be unlawful to do so, including liability for death or personal injury caused by negligence.

Subject to those rights, Broadside Music cannot accept responsibility for loss arising from circumstances outside its reasonable control.

Parents and carers remain responsible for arranging any personal insurance they consider appropriate, including cover for cancellation, personal possessions and musical instruments.

19. Events beyond our reasonable control

Broadside Music will not be responsible for failure to provide, or necessary changes to, the Summer School where this results from circumstances beyond our reasonable control.

These might include severe weather, transport disruption, venue closure, public health restrictions, emergency situations or other events that could not reasonably have been prevented.

Where such circumstances arise, we will take reasonable steps to minimise disruption and communicate with families as promptly as possible.

20. Personal information

Broadside Music will collect and use personal information necessary to administer the Summer School and safeguard participants.

For an under-18 residential course, this may include information about participants' health, allergies, medication, dietary requirements, accessibility or additional needs, emergency contacts and safeguarding or welfare matters.

Information will be handled appropriately and shared only where there is a legitimate reason to do so, including with relevant members of the course team, venues, medical professionals or safeguarding authorities where necessary.

Further information about how Broadside Music handles personal information is available in our Privacy Policy.

21. Concerns and complaints

We want participants and parents or carers to feel able to raise concerns.

Where possible, questions or concerns should be raised with Broadside Music promptly so that we have an opportunity to address them.

Safeguarding concerns will be handled in accordance with our safeguarding procedures rather than through the ordinary complaints process.

22. Changes to these Terms & Conditions

Broadside Music may update these Terms & Conditions from time to time.

The Terms & Conditions applying to a booking will normally be those accepted when the booking was made, unless a change is required by law or is necessary to protect the safety or welfare of participants.

Any material change affecting an existing booking will be communicated appropriately.

23. Governing law

These Terms & Conditions are governed by the laws of England and Wales.

Any dispute will be subject to the jurisdiction of the courts of England and Wales, subject to any rights a consumer may have under applicable law.

24. Contact

If you have any questions about these Terms & Conditions or would like to discuss a participant's individual circumstances before booking, please contact Broadside Music.
