3. Residential, Supervision & Off-Site Safeguarding
The residential element is an important part of the Youth Summer School, giving young singers the opportunity to live, rehearse and spend time together as a community.
It also brings additional safeguarding responsibilities. Clear arrangements will therefore be in place for boarding accommodation, overnight supervision, travel and activities away from the residential base.
-
Residential participants will be accommodated in appropriate boarding school accommodation arranged for the Summer School.
Broadside Music will agree arrangements with the host venue in advance covering accommodation, site security, fire and emergency procedures, first aid, staff accommodation and the respective responsibilities of Broadside Music and the venue.
Boys and girls will be accommodated in separate bedrooms and, wherever the accommodation allows, in separate boarding areas. Participants will only sleep in their allocated rooms and will not be permitted to enter bedrooms allocated to participants of another sex.
Room allocations will take account of participants' age, privacy, safeguarding and individual needs. Where a participant has particular accommodation, privacy or welfare needs, parents or carers will be encouraged to discuss these confidentially with Broadside Music before the course so that appropriate arrangements can be agreed.
Adults will not share bedrooms with participants. Staff accommodation will be arranged so that appropriate supervision is available while maintaining clear boundaries between staff and participant sleeping areas.
Clear arrangements will be in place to protect participants' privacy in bedrooms, bathrooms and changing areas.
-
Appropriate adult supervision will be available throughout the night.
Participants will be told who they can contact if they are unwell, distressed or need assistance overnight, and members of staff will have clearly defined overnight and on-call responsibilities.
Clear arrangements will also be established for bedtime, morning routines, fire evacuation and overnight emergencies.
-
Residential and non-residential singers are equally part of the Summer School and will be included in the musical and social life of the course.
The same safeguarding standards apply to all participants while they are in Broadside Music's care.
For non-residential participants, clear arrangements will be agreed for daily arrival and collection. Parents and carers will know when Broadside Music's responsibility for their child begins and ends each day.
Participants will not be permitted to leave the residential site or an off-site activity independently unless this has been agreed in advance with their parent or carer and Broadside Music.
-
Broadside Music will maintain accurate attendance information throughout the course.
Registers or headcounts will be used at appropriate points, including:
at the beginning and end of the day;
before and after coach journeys;
when arriving at or leaving off-site venues;
during significant transitions between activities or locations.
Staff must know which young people are in their care.
Any unexplained absence will be treated seriously. If a participant cannot be accounted for, staff will immediately establish when and where they were last seen, check registers and known arrangements, and begin an appropriate search while maintaining supervision of the rest of the group.
Parents, carers, police or other agencies will be contacted where appropriate according to the circumstances and level of risk.
-
Broadside Music's safeguarding responsibilities continue throughout organised travel and activities away from the residential base.
Appropriate arrangements and risk assessments will be in place for each significant off-site activity, including travel, supervision, registers, medical needs, venue-specific considerations and emergency procedures.
Particular care will be taken where activities take place in public spaces or environments presenting additional risks, such as coastal areas. Participants will remain within clearly defined boundaries and under appropriate supervision.
Using another venue does not transfer Broadside Music's responsibility for participants to that venue. Broadside Music staff remain responsible for their supervision and safeguarding while they are in our care.
